New Extension Checklist
Innovative Phone System

Follow the steps below to set up and verify your new phone extension. Proper voicemail setup ensures your calls are handled correctly and presents a professional, consistent experience to customers and callers.
Setting up a phone extension
Voicemail Setup
Step 1
Access Your Voicemail
Press the message or voicemail button on your phone to connect to the voicemail system. Enter your password when prompted.
Your default password is usually your extension number. In some cases, it may be set to 1234 or 4321. You will be prompted to change your password the first time you log in.
Step 2
Change Your Voicemail Password
Once connected to voicemail, press 0 to access mailbox options, then press 5 to set a new password.
Step 3
Record Your Name
From mailbox options, press 3 to record your name. This ensures callers hear your name instead of an extension number.
Step 4
Record Voicemail Messages
Press 1 to record your unavailable message. Press 2 to record your busy message.
Testing Your Extension
Test Call
Call your direct phone number from your cell phone. Let the phone ring and do not answer. Allow the call to go to voicemail and leave a test message.
While leaving the message, confirm that the voicemail system announces your name and plays your unavailable message.
  • Your phone shows a voicemail notification
  • You receive the voicemail message by email
When your cell phone rings, note the phone number that appears. Call that number back and confirm the call rings directly to your desk phone.
If all steps above are confirmed, your extension is fully set up and ready for use.
